Important Notice for Agencies and Companies:
Please note that when you register a participant using your agency/company email address, the account will be linked only to that participant.

If you need to register another participant, you must create a new account with a different email address.
If your account already exists but the name doesn’t match the participant (from previous events), changing it will erase the previous registration history.

DO YOU NEED AN INVITATION LETTER FOR VISA APPLICATION?

Participants should contact the Italian Embassy or Consulate in their home country promptly to confirm their travel visa requirements. It is each participant’s responsibility to secure the necessary visa for attending the congress. The OIC Group is unable to assist with visa applications and cannot engage with Embassies or Consulates on behalf of participants.

PAYMENT CONDITIONS:

Full payment of all items is requested when registering. No confirmation will be sent until OIC has received the payment
Payments must not involve charges for recipient
Debits to your credit card will appear as OIC Srl Florence (Italy) on the credit card statement

CANCELLATION POLICY:
For changes or cancellations a written notification must be sent to Organising Secretariat OIC: registrationever@oic.it

• For cancellations received by 1 July 2026: a penalty charge of 30% will be applied.
• For cancellations received by 8 September 2026: a penalty charge of 70% will be applied.
• No refund will be processed for cancellations received from 9 September 2026.
• An administrative fee of € 50 will be applicable for name changes. For the replacement of a delegate, written permission from the originally registered participant will be required, along with full contact details of the substitution.
• Anyone unable to attend the congress after paying, and/or unable to transfer the registration fee to another person, must cancel his/her registration. The registration fee will be refunded if the request is received prior the above cancellation deadline dates.
• If you are unable to attend the Congress because you were denied a Visa to enter the country, you will be granted a refund only if you submit a copy of your visa rejection letter. The refund will be issued less the cancellation fee above stated.
• Please note that no refunds will be issued for additional fees paid for express shipping of invitation letters.

INSURANCE:
Participants are strongly encouraged to obtain comprehensive travel and health insurance before attending the congress. Please note that registration fees do not include any insurance coverage, and OIC does not provide insurance of any kind for attendees. It is the sole responsibility of each participant to ensure they have adequate health and travel insurance for the duration of their stay.
