• EKS Members: your membership login details are not valid for the registration system. Please create a new account in the designated section.
• Forgot Password: If you have forgotten your password, click on "Forgot your password?" An automatic email will be sent to your registered address with instructions to reset it.
If no message is delivered to your inbox, please proceed with "Create a new account". 

Registration is considered complete, and you are officially registered, only upon receiving the confirmation email.

Important Notice for Agencies and Companies (please read carefully, as we will not be responsible for any changes made by you):
When registering a participant using your agency/company email, please note that the account will be linked to that specific participant.
If you need to register a different participant for another event, do not use the same account. The system will overwrite participant details across all events associated with the account, replacing previous registration information. To avoid issues, please create a new login with a different email address for each participant.

Participant information

A valid and unique email address of the participant is required. This is very important to ensure that the registered participant will receive all relevant communications to access the event and the certificate of attendance.
To avoid any inconvenience in communications any other contact person, as company contact, can add his/her email address for correspondence in the billing information page.
Please ensure that if you provide your institutional email address, you check with your IT department that our email address registrationeks@oic.it is not blocked or marked as spam. Otherwise, you may not receive confirmation emails and important event-related information.

Professional Details

Please note that the visa invitation letter only aims to assist participants who need to obtain a visa or permission to attend the Meeting and the Organising Secretariat is not able to assist participants with their visa application and cannot intervene with Embassies or Consulates on behalf of any participant.

PAYMENT CONDITIONS:
All payments must be made in Euro
Full payment for all items is required at the time of registration. No confirmation will be sent until OIC has received the payment
Payments must not incur any charges for the recipient.
Debits to your credit card will appear as OIC Srl Florence (Italy) on your credit card statement

CANCELLATION POLICY
Any change or cancellation requests must be submitted in writing to OIC to: registrationeks@oic.it

For cancellations received by 18 July 2025 the paid amount will be refunded with a deduction of 30% that will be invoiced as penalty
For cancellations received from 19 July to 18 August, 2025 the paid amount will be refunded with a deduction of 70% that will be invoiced as penalty
No refund will be processed for cancellations received after 18 August 2025

Anyone unable to attend the congress for whatever reason after paying, and/or unable to transfer the registration fee to another person, must cancel his/her registration. The registration fee will be refunded if the request is received prior the above cancellation deadline dates. No refunds shall be offered, where a service is deemed to have begun and is, for all intents and purposes, underway.

Please note that registration fees are non-refundable in the event of cancellation due to illness, visa rejection, or other personal circumstances. To protect yourself against unexpected situations, we strongly recommend purchasing comprehensive travel insurance.

INSURANCE

Participants are strongly encouraged to obtain comprehensive travel and health insurance before attending the congress. Please note that registration fees do not include any insurance coverage, and OIC does not provide insurance of any kind for attendees. It is the sole responsibility of each participant to ensure they have adequate health and travel insurance for the duration of their stay.

ADMINISTRATIVE CHARGES
Any modification on VAT number or billing address, requested after the issuing of the invoice incurs a € 30,00 administration charge. The fees will be added to the outstanding invoice.
Name changes incur a handling fee of € 50,00 per registration.


Liability disclaimer:
In the event of serious special or unforeseen circumstances or serious circumstances beyond its control, OIC shall be entitled to cancel or modify the dates of the event. You shall not be entitled to compensation for any costs or damages incurred as a consequence of such a cancellation or change.
OIC will not be liable for any theft or damage to property and/or persons caused on site during the Congress, by any factor whatever, unless there has been a fault, intent or deliberate recklessness on the part of OIC.
OIC shall not be held responsible in the event of poisoning or food intoxication during the Event.

Please note that your registration cannot be confirmed without a valid credit card payment. You will receive an automatic confirmation e-mail upon completion of the withdrawal.

Please ensure that your credit card is enable for the 3D Secure protocol before beginning the registration process. If your payment fails, please contact your credit card issuer for assistance.

With this new system, the customer confirms electronic payments with a password, a transaction number, or a biometric recognition system. 
The system chosen depends on the bank; for example, many banks have set up a specific App or developed a code generator system.
This way, a potential attacker can no longer make purchases alone using stolen credit card details such as a card number or a PIN.

Note that your registration cannot be confirmed without a valid credit card payment. You will receive an automatic confirmation email once the transaction is successfully completed.
